Cancellation Policy

We ask that you thoroughly understand and consider the cancellation policy prior to booking as we make financial commitments to our guides/instructors. Once you have booked one of our programs we may begin incurring costs to make your program as good as it can be.

Please make every effort to read and understand the description of your program and if you have questions please contact us before booking.


The Bow Valley Kayak Club endeavors to provide an exceptional instructor to participant ratio and limits the number of spaces for each of our courses. This provides a quality experience, but also means that each spot is carefully accounted for.
When registering, you are withholding a space that is no longer available to other club members.
Operating at a non-profit level means your commitment is important in allowing us to assess the viability of each program and the sustainability of our organization.
We process a 100% deposit at the time of booking.

In the event that the Bow Valley Kayak Club cancels a program; your full payment will be immediately refunded.


Single sessions such as our
ladies nights, pool sessions, rolling classes, and any single occurrence trips or training are non-refundable.


Should you need to cancel from a program and if you have purchased cancellation insurance from an insurance provider; please refer to the terms of that policy.
If you opt not to purchase cancellation insurance, the following terms will apply:

  1. You have 24 hours from when you make your booking to change or cancel with no charge to you.

  2. If cancelling your program up to 4 weeks before the program start you will receive a full refund with the following exceptions: $100 will be withheld for program cancellations.

  3. Cancellation less than 4 weeks before the program start and during the program results in a loss of the entire amount paid.

  4. We will gladly accept a substitute guest should you not be able to attend provided they meet the prerequisites for the program.

  5. Cancellations must be received by email. (bowvalleykayak@gmail.com).

Weather, water level, and Conditions Policy

Mountain weather is unpredictable in all seasons and is a constant factor that shapes the decisions we make before and during our programs.  It would not be practical for us to refund every situation where our guests do not get the weather conditions they hope for so we make every effort to develop alternative plans. We will work diligently to give you the best experience with the conditions we face at the time.

Insurance:
This may especially apply to our members on work permits.

The Simpson Group offers a wide range of travel insurance options including Trip Cancellation/Interruption, Travel Medical, and Personal Effect Loss. Other providers offer similar services and we encourage you to select an appropriate level of coverage. We highly recommend purchasing this insurance to cover and protect you against unforeseen events. 

Trip Cancellation/Interruption Insurance:
We recognize that schedules may change for many reasons. Trip Cancellation/Interruption insurance is a great way to protect your investment. It does occasionally happen that a participant may be un-able to take part in their booked program and trip cancellation or interruption insurance is a relatively easy way to manage your level of risk to unforeseen events.
